Adding Participants

Once you have created an “Activity” to track, you will wish to add participants.  There are three ways to do this: you select the participants, you ask your school to add themselves to the list or a combination of both. 

  1. Log into your Administrative Dashboard.

    If you cannot reach an administrative side click on the "Contact Us" button in the upper right side of the screen.

  2. Click on the blue words “Assign & Track Volunteers and Hours” under the box with the blue ribbon  icon.

     

  3. To add “Participants” or people to your activity be sure you have the correct activity showing.

    If not, click on the “Activity” box dropdown arrow and select your volunteer activity.




  4. Now, click on the green "Show Search"  button.



  5. IMPORTANT:  Under the label “Participant” click on the dropdown arrow and select “both” and then the word “Search” to the right of this field.




  6. Once you have added this essential information you will need to select a group of people who can join this activity. 

    For example if this was a fourth grade project you would want to select only fourth grade parents and therefore only check mark the 4th grade.

  7. This will show you everyone you have to select. 

    If you still do not see them check the following:

    • You are at your school or unit level.  If not click on your school name in the white arrows.

    • You have clicked on the green "Show Search"  button and then under the label “Participant” clicked on the dropdown arrow and selected “both” and then click the word “Search” to the right of this field.  This will show non-participants too.

    • Be sure that the person you are looking for has been added to the system.  Use the search fields to see if you can’t find their names.  Remember, once you type their name into the field you must click on the word “Search” to the right.

    • If they are not in the system you may go to individual entry and add them into your unit and then pop right back here and track their hours.

  8. Now that you have found your person, click on the box to the left of their name.

  9. Then select “Actions on Selected People”.

  10. Now click on “Mark As Participants” .  You may wish to select more than one person at a time.

  11. Once you have added them to your activities tracking you may begin to add hours by clicking on the green plus sign to the right of their name.
